Thunder Bay Title Searching Inc. is committed to protecting the privacy of visitors to this public website. This Website Privacy Notice describes how we collect, use, disclose, and safeguard personal information collected through this website (for example, when you browse our pages or submit a general inquiry), in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario privacy laws.
Note for existing clients: if your firm has a Client Portal account, the personal information we collect and use in connection with the Portal and our search services is instead governed by our Client Privacy Notice, available within the Client Portal.
1 Information We Collect
- Inquiry Information: Name, email address, phone number, and message content when you submit our contact form.
- Usage Data: IP address, browser type, pages visited, and time spent on this website, collected to operate and improve the website.
2 How We Use Your Information
- To respond to your inquiry and communicate with you about our Services.
- To operate, secure, and improve this website.
- To comply with legal obligations and regulatory requirements.
We generally rely on implied consent arising from your voluntary submission of an inquiry to us. You may withdraw consent at any time, subject to legal restrictions and reasonable notice, by contacting our Privacy Officer below.
3 Disclosure of Information
We do not sell, trade, or rent your personal information to third parties. We may share information with:
- Service Providers — including our email, cloud hosting, and website infrastructure (e.g., content-delivery and font services) providers, solely to the extent necessary to operate this website, subject to contractual confidentiality obligations.
- Legal authorities — when required by law, court order, or governmental authority.
Cross-border storage and processing. Some of our service providers store or process data on servers located outside of Canada, including in the United States (for example, cloud hosting infrastructure and website content-delivery and font services). Where this occurs, your information may be subject to the laws of that jurisdiction, including lawful access by foreign authorities. By using this website, you acknowledge this possibility.
4 Website Technologies and Third-Party Content
This website loads certain third-party resources to deliver fonts and styling (including Google Fonts and a content-delivery network for our stylesheet framework). Loading these resources causes your device’s IP address and basic browser information to be transmitted to the relevant third-party server (which may be located outside Canada) as a normal function of how web browsers request linked resources, even though we do not use these services for analytics, advertising, or cross-site tracking. We do not currently use Google Analytics, Google Tag Manager, or similar analytics or advertising tracking tools on this website. If this changes, we will update this Notice accordingly.
5 Data Security
We implement industry-standard security measures including 256-bit SSL/TLS encryption for data transmission, secure access controls, and regular security audits. However, no method of electronic transmission or storage is 100% secure. While we strive to protect your personal information, we cannot guarantee its absolute security. In the event of a breach of security safeguards involving personal information under our control that creates a real risk of significant harm, we will notify the Office of the Privacy Commissioner of Canada and affected individuals as required under PIPEDA and the Breach of Security Safeguards Regulations, and will keep a record of every such breach for at least 24 months.
6 Data Retention
We retain inquiry and website usage information for as long as necessary to respond to your inquiry, operate this website, or as required by law, and we periodically delete or anonymize information that is no longer needed for these purposes. If your inquiry leads to an engagement with us, information relevant to that engagement will instead be retained in accordance with our Client Privacy Notice.
7 Your Rights
Under PIPEDA and applicable Ontario law, you have the right to:
- Access the personal information we hold about you.
- Request correction of inaccurate or incomplete information.
- Withdraw consent for uses of your data where consent is the legal basis, subject to legal restrictions and reasonable notice.
- Raise a concern directly with our Privacy Officer (see contact information below) before, or instead of, escalating to a regulator.
- Lodge a complaint with the Office of the Privacy Commissioner of Canada (30 Victoria Street, Gatineau, QC K1A 1H3 — Toll-free: 1-800-282-1376 — priv.gc.ca) or, where applicable, the Information and Privacy Commissioner of Ontario (ipc.on.ca).
We will respond to access requests within 30 days as required under PIPEDA. We may request proof of identity before fulfilling a request.
8 Electronic Messages (CASL)
If we send you electronic messages in response to your inquiry, including commercial electronic messages, we do so in accordance with Canada’s Anti-Spam Legislation (S.C. 2010, c. 23). Every commercial electronic message we send will identify us, provide our contact information, and include a functional unsubscribe mechanism.
9 Cookies and Local Storage
This website does not use third-party advertising or cross-site tracking cookies. (See Section 4 above regarding incidental data transmission to third-party font and content-delivery services.) If you log into the Client Portal, separate browser storage technologies apply as described in our Client Privacy Notice.
10 Not Directed to Minors
This website is not directed to, or knowingly used by, individuals under the age of 18.
11 Changes to This Notice
We may update this Notice from time to time to reflect changes in our practices or applicable law. Changes will be posted on this page with an updated effective date. Continued use of this website after a change takes effect constitutes acceptance of the revised Notice.
